Conference Grant

The aim of this grant is to promote international cooperation and sharing of experiences amongst researchers. A Conference Grant represents a means of giving researchers working in Sweden the opportunity to arrange a conference with internationally recognised lecturers.

Terms and conditions

  • The programme of the conference must be of high quality, and the lecturers invited must be recognised researchers with a high level of scientific expertise.
  • The conference should be directed to the research community.
  • The conference must be held in Sweden.
  • The conference must be medium sized, with from 50 to 200 attendees.

Who may apply?


Applicants for Conference Grants are individual researchers who also serve as project leaders and have the scientific responsibility for the conference.

You must hold a Swedish doctoral degree or an equivalent foreign degree at the time you submit your application. We deem your doctorate to have been awarded when all requirements for the degree (e.g. compulsory courses, oral public defence and approved doctoral thesis) were completed.

In the case of applicants and associated researchers in the area artistic research and development, the requirement of a doctoral degree does not apply. However, a degree from an artistic higher education institution or other equivalent credentials is required.

Costs and grant amount


The grant covers the costs of travel and lodging for a limited number of invited lecturers who work outside Sweden. The grant is not to be used for other attendees, administration or social security fees and taxes. The amount applied for should be indicated as direct costs.

The grant includes reimbursement for travel and lodging. Air and railway travel should normally be in economy class or its equivalent.

Number of grants and applications


Only one Conference Grant per year may be awarded to a grant recipient.

Only one application may be submitted for each conference.

Administration


The grant will be administered by a Swedish University or Swedish higher education, or by another public sector organisation that fulfils the requirements of the Swedish Research Council for an administrative entity.

The Swedish Research Council requires that a final financial report be submitted for every grant within the stipulated time. We will therefore check that financial reports have been submitted for each of the applicant's completed grants. If any final financial report is missing, the current application will be rejected. If you are not sure whether the final financial reports have been submitted, please contact the administrative entity in charge of this. 

Employer status and terms of employment


Project leaders with grants financed by the Swedish Research Council must be employed by the administrative entity, unless the Swedish Research Council and the administrative entity, and any other employer agree otherwise.
By signing Appendix S, the representative of the administrative entity confirms its commitment.

Content of the application


The application, which can be written in Swedish or English, must contain the following:
  • Project title
  • Summary
  • CV (Appendix B)
  • Conference Grant (Appendix ÖB)
  • Signatures (Appendix S)

Project title


Use the name of the conference as the project title, fill this in on the form in the application system.

Summary


The summary must contain:
  • The name and location of the conference planned
  • The dates for the conference
  • A short justification for the conference
  • The website, if any, for the conference.

Fill in the summary on the form in the application system.

CV (Appendix B)


Attach your CV (not to exceed two A4 pages).

Conference Grant (Appendix ÖB)


This appendix should not exceed four A4 pages, and must contain:
  • A description of the scientific content of the conference
  • A description of the importance of the conference for the research area
  • The expected number of attendees, the percentage of these who are from Sweden, and the extent to which the conference is open to all researchers working in the area.

Specify in addition:

  • The names of the invited lecturers, as well as a brief description of their scientific qualifications
  • The date of the conference and a preliminary programme
  • A preliminary total budget

Signatures (Appendix S)


Appendix S is automatically generated when you register your application. Print out Appendix S and sign it. Appendix S must also be signed by the department head, or equivalent.

The signatures serve to confirm that:

  • The cost estimate in the application has been approved
  • You have reported your side-line occupations and commercial ties, and that nothing has arisen that would conflict with good research practice.
  • The necessary permits and approvals have been granted for this project, such as those relating to ethical review.

You must discuss the above-mentioned points with the representative for the administrative entity before he or she approves and signs the application. The administrative entity is responsible for assuring that the conference complies with the terms and conditions established by Swedish legislation.

Send Appendix S by regular mail to the Swedish Research Council.

Instructions for applying


Apply electronically via the Swedish Research Council's application system (VR-Direct) by completing an application form, and including the appendixes required. Indicate your name, civic identity number and the appendix designation on each page of the appendixes. A signed hard copy of Appendix S must be sent to the Swedish Research Council.

You are responsible for ensuring that the application is complete, which means that the application form and appendixes have been filled out correctly. The Swedish Research Council will not process incomplete applications. However, attach only material that we expressly request. Other material, such as letters of recommendation or off-prints will not be evaluated. Failure to comply with the instructions will be taken into account in the evaluation.

We do not allow additional information after the closing date for applications, except for information we expressly request.

Font, size and pictures


Write the appendixes in A4 format, using a 25 mm margin and a Times New Roman 12 font.

When we print out the application, we use a resolution of 200-300 dpi, and possibly grey scale. You should therefore adapt your images to this standard. Remember that pdf files must not be password-protected.

Evaluation and decisions

  • The applications will be examined by an expert in the subject area.
  • Decisions will be made four times a year: March, May, August and November.
  • Notification of decisions will be sent to all applicants.
  • The decision may not be appealed.

When and how should the application be submitted?


An application for a Conference Grant may be sent in on at any time during the year, but no later than four months before the conference is to take place.

Send a signed hard copy of Appendix S to the address below. A signed copy of Appendix S must be received by the Swedish Research Council no later than three working days after the registration date of the application.
