Most of these types of requests must also be signed by another party in Prisma, usually the administrating organisation (the organisation that administers and pays out your grant).
The request is forwarded to the Swedish Research Council for consideration once it has been signed by all parties. The request will be cancelled if it has not been signed by all the required parties within the specified period of time. If that happens, you will need to submit a new request. Please note that other rules apply when the applicant is an organisation.
Below you can read instructions for what applies to different types of changes.
Instructions
Your grant is paid to the administrating organisation, which is also the entity that employs you. If you need to change to a different administrating organisation (for example, if you change employers), you must submit an application by sending a request via Prisma.
Please note: We are unable to make the change retroactively. For this reason, it is important that you submit a request well in advance of the change.
The request will not be submitted to us for consideration until both administrating organisations have signed off in Prisma. For certain types of grants, we will need additional documentation, such as a letter of support from the new administrating organisation. If you want to change both the administrating organisation and the project leader for your grant, you may apply for that in a single request.
You can read the instructions in Prisma’s User Manual. External link.
When you change to a new administrating organisation, the earlier administrating organisation must submit a final financial report and repay any unused portion of the grant to us (does not apply to grants for research infrastructure).
Submitting a final financial report via Prisma
For grants decided on as from 2015, the report must be submitted via Prisma. An authorised representative of the administrating organisation (usually an accountant) shall complete the information and register the financial report. The report is then sent to the project leader responsible for checking before being sent to the Swedish Research Council. We assume that the person submitting the financial report is authorised to represent the administrating organisation for this purpose.
Grants decided on before 2015
Grants awarded before 2015 shall be reported using a form sent by standard post.
An authorised representative of the former administrating organisation shall submit a final financial report to us and pay back any unused funds to us no later than 30 days after the change of administrating organisations.

Please note: Further payments from us may be made after the application to change administrating organisations has been submitted – these funds shall also be included in the financial reporting.
If there are any unused funds in this conjunction, these shall be repaid to the Swedish Research Council. Payment shall be made to bank giro No 5052-2663. Please state the registration number for the grant, and that the payment relates to unused funds.
If, as project leader, you are no longer able to manage the project, you may apply for a new project leader to take over. The new project leader should be a person who was specified in the original application for the research grant and should not have an ongoing research project grant from us (if the request relates to one of our unfocused project grants).
Both the new project leader and the administrating organisation must sign the request before we can process it. In order to process your request, we require the following documentation: the new project leader’s CV and publication list.
Please note that it is not possible to change project leaders for the following types of grants:
- International postdoc
- Starting grant
- Consolidation grant
- Grant for employment as a half-time researcher in a clinical environment
- Grant for distinguished professor
- Marie Sklodowska International career grant
- Project grants for young researchers
- Grants to prominent junior researchers
If you want to change both the administrating organisation and the project leader for your grant, you may apply for that in a single request.
You can read the instructions in Prisma’s User Manual. External link.
If you would like to change the institution, department or unit for an ongoing grant, you can do so directly by submitting a request for “Change of project site” in Prisma. The request must be signed by the administrating organisation.
The administrating organisation will then be in charge of processing the change.
You can read the instructions in Prisma’s User Manual. External link.
Unless otherwise specified in the terms that apply to your grant, you may use the grant for a period of one year after the stipulated grant period has expired.
We may approve an extension of the availability period if circumstances beyond your control have prevented you from conducting your research and thereby hindered implementation of the project. This primarily applies to parental leave or long-term absence due to illness (your own, or the illness of a close relative that you are caring for). The absence might also apply to other important project participants who are crucial for the implementation of the project, such as a doctoral student.
If a research project is at risk of being significantly delayed due to COVID-19 and cannot be completed within the availability period, we could grant an extension to the availability period. The application for an extension is to be done according to the Swedish Research Council’s normal procedures.
Please note: You must clearly state the reason for needing to extend the availability period. You must also state how long you, as project leader (or other crucial project participants) expect to be absent.
You must submit your request for an extension during the final year of the availability period, and in good time before the end of the availability period. You will find that date in the document called “Approval of terms”. Please note that the request must also be signed by the administrating organisation before you submit it to us for consideration.
You can read the instructions in Prisma’s User Manual. External link.
If, for some reason, you need to terminate your grant early, for example because you are moving abroad or switching careers, you will need to submit a request for early termination via Prisma.
You can read the instructions in Prisma’s User Manual. External link.
The administrating organisation does not need to sign the request. However, after the decision has been made, it must submit a final financial report on the grant and repay unspent funds (does not apply to grants for research infrastructure). It may also be necessary for the project leader to submit a scientific report.
An authorised representative of the administrating organisation shall submit the final financial report no later than one month after the research has been terminated.
- Grants decided on as from 2015 shall be reported via Prisma.
- Grants decided on before 2015 and organisation grants (all years) shall be reported using a form sent by standard post.

Please note: If there are any unused funds in this conjunction, these shall be repaid to the Swedish Research Council no later than 30 days after we have received the final financial report. Payment shall be made to bank giro No 5052-2663. Please state the registration number for the grant, and that the payment relates to unused funds.
Your application will need to be processed by one of our administrators if it relates to major changes to a grant to a research infrastructure. This applies for example to a partially altered focus of the activities or organisational changes.
Organisations that have received a grant from the Swedish Research Council may apply for an extension to or early termination of the availability period. Examples of this are grants to support a graduate school, visiting professorship or publication.
The application must be submitted via Prisma by the person responsible for the organisation account or the application. No other signatures are required.
